1. Who we are

This site is operated by Walsall Awards ([TO BE CONFIRMED, legal entity, registered address and ICO number to be supplied by client]). We are the data controller for personal data collected through this website.

If you have any questions about this policy or your data, contact us at info@walsallawards.co.uk.

2. What we collect and why

Nominations

When you submit a nomination, we collect:

  • The nominee’s name and (where given) their organisation
  • The category nominated
  • Your reason for nominating them
  • Your name, email address and (optionally) phone number

We use this information to process the nomination, contact you about it, share it with the judging panel for assessment, and, if the nominee progresses , contact the nominee to inform them of their nomination. Our lawful basis is your consent, which you give when you tick the consent box on the nomination form.

Sponsorship and ticket enquiries

For sponsorship and ticket enquiries, we collect your name, email address, phone number, organisation and any message you send. We use this information to respond to your enquiry and to discuss the package or booking. Our lawful basis is legitimate interest in responding to commercial enquiries you have initiated.

Interest sign-ups and general contact

If you register your interest or contact us through the contact form, we collect your name, email address and any other details you choose to share. We use this information to reply to you and (if you have consented) to keep you informed about the Walsall Awards.

Technical data

Our forms record the IP address and browser of the submitter for security and fraud-prevention purposes only. We retain this data for as long as the underlying submission is held.

3. How long we keep your data

We keep personal data only as long as needed for the purpose it was collected for, plus any period required by law. As a rule:

  • Nomination and enquiry data is retained for the duration of the awards cycle plus 24 months for accounting and audit purposes
  • Interest sign-up data is retained until you ask us to remove it

4. Who we share data with

We share personal data only where necessary:

  • With the judging panel, to assess nominations
  • With trusted suppliers who help us run the event (e.g. venue, ticketing, mailing) under written contract
  • Where we are required to by law

We do not sell personal data to third parties.

5. Payment processing

Online ticket and table purchases are processed by Stripe Payments UK Ltd. When you proceed to checkout, you are redirected to Stripe’s secure payment page. We never see or store your card details. Stripe collects your name, email address, billing address and card details solely to process the payment, in line with their own privacy policy.

We retain the transaction reference, amount, ticket type, your email and a status flag in our records for accounting and event-management purposes.
